Manage members, permissions, SSO/SAML/SCIM, platform settings, and data compliance as an administrator.
Read the Users list in Administration, find someone with search and filters, and see what each row action does and when it is available
Every account in your organisation is an administrator, a member or a guest. See what each one may do, and how an administrator changes someone's role.
Administrators invite members and guests from Administration > Invitations, by email or by unique identifier, or by sharing a sign-up link.
Four routes put a person into a Talkspirit organisation: an invitation, a sign-up link, self sign-up, or provisioning from your identity provider.
Administrators track, resend and cancel pending invitations from Administration > Invitations, and control the automatic reminder emails.
Give frontline staff an account without an email address: turn on the unique identifier, invite them, and hand over their access code yourself
A guest account has no organisation-wide access. What a guest can reach is fixed by the access scope chosen when the invitation was sent.
Switch an account between member and guest from Administration > Users, and see exactly what the person keeps, what they lose, and what cannot be undone
A user administrator manages people, invitations and profiles without full administrator rights, and the role is granted and used in classic Talkspirit
Control who can create an account without an invitation, which sign-up methods are available, and which email domains you accept.
Add your own fields to member profiles from Administration > Users > Profile fields, and choose which ones appear on member cards.
Administration > Groups lists every group in your organisation, but creating, editing, archiving and deleting a group is done in classic Talkspirit
Edit a member's details, suspend or restore their access, and remove someone who leaves, from Administration > Users. There is no delete button: removing a member means suspending them, and anonymising them when their data must go too.
Talkspirit administrators can suspend multiple users at once to revoke platform access without deleting accounts or losing contribution history.
Administrators in Talkspirit can edit member types, change status, and resend invitations for multiple members at once from the Members dashboard.
An administrator enables the member hierarchy in Administration > People > Users > Hierarchy, picks the source managers, and a Hierarchy view of reporting lines appears in the Members app.
Newsletter managers are platform members designated by administrators who can create, edit, send, and delete newsletters to all platform members.
Every member's email address is on their profile in the Members app, with a copy button. Searching the organisation by address is reserved to administrators.
A user badge is a coloured marker an administrator grants to a few members so their posts stand out. Create and assign it in classic Talkspirit, under Administration > Manage users > Badges.
Plan a Talkspirit rollout: finish the setup before you invite anyone, start with a pilot group, then bring in the rest in waves.
The organisation chart shows your organisation's reporting relationships as a tree on the Members page. Set your own manager and direct reports from your profile once an administrator enables the Member hierarchy add-on.
Talkspirit supports Okta as a SAML single sign-on provider. An administrator connects Okta under Administration, then members sign in with their Okta credentials.
Set up SAML 2.0 single sign-on in Talkspirit: enable the SAML provider, enter your identity provider's details, register Talkspirit with your IdP, map claims, enforce SSO, and troubleshoot sign-in.
Enable Google sign-in for your Talkspirit organisation from Administration, turn on the Google provider, and optionally restrict which email domains can register through it.
Administrators set password strength, complexity requirements and expiration for their organisation from Administration, Security, Security policies.
SCIM 2.0 connects your identity provider to Talkspirit, automating member account creation, updates, and deactivation.
The Talkspirit Administration panel groups every organisation setting into a left sidebar: Overview, Settings, People, Security, and Modules. Only administrators can open it.
Administrators personalise a Talkspirit workspace from Administration then Organisation: upload an organisation logo, set a login background picture, and choose a brand colour.
Only administrators can rename an organisation in Talkspirit. Update it from the Organisation page in the Administration panel; the field saves as you leave it.
Rename the structural terms Talkspirit uses, such as circle, role and tension, so your whole organisation sees your own vocabulary instead of the defaults.
An organisation owner is an administrator with the highest level of control. Any existing owner can grant owner status to another administrator from Administration → Users. An organisation can have several owners at once.
Any administrator of a Talkspirit organisation can delete it. This action is permanent and removes all users, roles, circles, and content.
Administrators enable the Holacracy add-on, switch the Tensions practice on for the organisation, and rename the term in Administration › Terminology.
Administrators on the Enterprise plan can set a single brand colour that replaces the default Talkspirit palette across the whole organisation, from Administration then Organisation.
Default groups are the groups new members join automatically. Source and locked groups go further: members cannot leave or unfollow them on their own.
Beta features let you preview and test functionality that is still in development. When your organisation is in the beta programme, you turn each one on or off from your profile menu.
Administrators use Administration → Onboarding to choose the page every member opens when they sign in: the Cockpit, Homepage, Chat or Structure.
The Talkspirit Homepage is an internal portal where Homepage managers publish news, events, key contacts and app shortcuts for the audiences they choose.
Administrators activate the Homepage module, designate its managers, and can make it the page members see after signing in. Deactivating it hides the module without deleting its pages or managers.
Homepage managers in Talkspirit can create pages, add rows and content modules, publish articles and events, and control who sees each page.
Homepage managers create, edit, reorder, and delete the pages of the Talkspirit Homepage from the Administration, setting each page's title, audience, and draft or published status.
Homepage managers can add an Apps module to a Talkspirit home page, giving members one-click shortcuts to the activated applications in the organisation's apps directory.
The description field of a Homepage module opens a rich text editor: format selected text from the toolbar, and insert lists, tables and emojis with the / command.
In the Talkspirit mobile app, the Homepage shows your published home pages in a single scrolling column. You can switch pages from the list at the top and read every module in full. Pages are edited from a computer.
Use images of 1040 x 480 pixels on the Talkspirit home page. Every image is delivered in a single 1040 x 480 px format, whatever the module width, so one size fits all six row formats.
Public pages are externally visible pages that administrators build and publish to a public web address, showing your organisation's structure and content to visitors who are not signed in.
An organisation administrator can turn the Newsfeed module on or off from the Talkspirit administration console, a change that applies to every member in the organisation.
Administrators can publish a curated directory of external apps that members open from Apps in the main navigation, built from a catalogue of more than 1,000 apps, custom apps, or an Okta synchronisation
Platform administrators can allow chat message editing and choose how long a message stays editable after sending, from 15 minutes to no limit.
Talkspirit administrators choose who can pin comments, administrators only or post owners and group managers too, with an optional per-group override
Administrators can switch off notification emails organisation-wide. Invitation and password-reset emails are not covered and still go out
Administrators switch videoconferencing on under Administration > Tools, decide whether meetings can be recorded, get the required network ports opened, and check browser permissions.
Talkspirit admins can customise which menus appear on the mobile app, choosing a default tab and up to two additional sections for all users.
Administrators can enable on-the-fly translation of posts and comments so members can read content in their preferred language.
How an administrator switches on Spark, the Talkspirit suite's AI assistant, from the Administration area so it becomes available to every member.
The Translation add-on machine-translates your organisation's circles and roles into the languages you activate, so members can read the chart in their own language. Only an administrator can enable it.
How an administrator turns on the Knowledge Base so Spark grounds its answers in your organisation's documents and governance content, and what disabling it removes.
Administrators turn each app on or off from the Modules section of the administration to tailor the workspace to the organisation's needs.
Talkspirit sends all its email from two addresses on the talkspiritmail.com domain. Allow the domain rather than an IP range.
Administrators can turn on the post validation workflow so members can have their posts reviewed and approved before they are published to the newsfeed
As a member you can export a project board you manage and download the organisation chart animation. Organisation-wide exports are administrator-only.
What an administrator can export from Talkspirit and from where: the organisation structure as JSON, the members list as CSV and an archive of newsfeed posts, plus what cannot be exported.
What happens to the content members send to Spark: which AI provider processes it, what Talkspirit stores, and who decides.
