# Ways to add new members to your organisation


## Ways to add new members to your organisation

Someone becomes a member of your organisation in one of four ways: you invite them, they use an invitation link you shared, they sign up on their own, or your identity provider creates their account. All four are switched on and off from **Administration**, and you need administrator rights to change any of them.

> **In summary:** invite people from **Administration** > **Invitations**. Every other route is configured on the **Settings** tab of that same screen or under **Administration** > **Authentication**.

## The four routes

| Route | Where you set it up | Use it when |
| --- | --- | --- |
| Invitation | **Administration** > **Invitations** > **Invite** | You know who is joining and want to control it person by person |
| Invitation link | **Administration** > **Invitations** > **Settings** | You want one link you can share with a whole team |
| Self sign-up | **Administration** > **Authentication** > **Sign-up settings** | Everyone joining shares a company email domain |
| Identity provider | **Administration** > **Authentication** > **SSO Providers** or **SCIM** | Your accounts are already managed in Okta, Microsoft Entra ID or similar |

## Inviting someone

Open **Administration**, and under **People** click **Invitations**. Click **Invite** at the top right. The menu offers **Registration by email** and **Registration without email**, each with **Add a member** and **Add a guest**.

People without a company email address are invited with a **Unique identifier** instead of an address, and you pass them their access code yourself because no email is ever sent to them. See [Adding users without an email address](/administration-security/users-without-email).

The invitation form has no Administrator option. You invite people as a member or a guest, and promote someone to administrator afterwards from **Administration** > **Users**. > **Note:** The **Members** app is a directory. You cannot add anyone from it, and every route into your organisation starts in **Administration**.

## Letting people sign up themselves

Go to **Administration** > **Authentication** > **Sign-up settings**. **Sign-up access** offers three settings:

- **Open**: anyone can sign up.
- **Domain restricted**: only addresses on the domains you list under **Allowed domains** can sign up.
- **Disabled**: no self-registration, so people must be invited.

**Sign-up methods**, below it, controls the credentials people may create: **Email and password**, **Unique identifier (UID)**, or both.

A second self-service route lives on the **Settings** tab of the Invitations screen. **Enable the invitation link** produces a sign-up link anyone holding it can use to join. The same tab carries **Allow members to invite new members**, which lets ordinary members send invitations, optionally restricted to your allowed domains.

> **Warning:** **Allowed domains** does more than filter sign-up. It is the same list that authorises single sign-on to create accounts, so adding a domain there also lets anyone with an address on it join through your identity provider without an invitation.

## Provisioning from your identity provider

Two independent mechanisms, both under **Administration** > **Authentication**:

- **SSO Providers**. Once a provider is enabled, someone who signs in with it and is not yet a member is offered sign-up, provided their address matches the provider's **Allowed email domains** or your **Allowed domains** list. - **SCIM**. Your identity provider creates, updates and deactivates accounts directly, with no action from you. See [Automated user provisioning and de-provisioning (SCIM 2.0)](/administration-security/automated-user-provisioning-and-de-provisioning-scim-20).

## Someone I invited has not appeared

Invited people stay on the **Invitations** screen until they sign in for the first time. Only then do they move to **Administration** > **Users**. An invitation still sitting in that list is normal, not a fault.

Then work through these:

1. **Check the Status column.** **Bounced** means the address rejected the invitation email. Resending will not help, and the screen will still report success. Delete the invitation, then invite the corrected address.
2. **Ask them to check spam.** Talkspirit sends reminders 2, 7 and 14 days after the invitation, and those reminders go out as bulk email, so they are filtered more aggressively than the first one.
3. **Do not worry about the age of the invitation.** Invitation links have no expiry date, so an old one still works.
4. **Remember that invitations ignore the organisation-wide email switch.** If you turned notification emails off while setting up, everyone you invited was still emailed.
