# Editing, suspending, restoring or removing a member


## Editing, suspending, restoring or removing a member
When someone changes name, leaves, or comes back, you handle it from **Administration > Users**. Editing a member's details, suspending or restoring their access, and removing someone for good all live in the actions menu on their row. If you came here looking for how to delete a user, read [How do I remove or delete a member?](#how-do-i-remove-or-delete-a-member) first: there is no delete button, and the section explains what to do instead. Suspension is reversible and frees the licence; one option inside it is not reversible, so read the suspend section before you use it. You need administrator rights for everything on this page.

## What do I need to know before I start?

- You cannot suspend or anonymise an administrator. Set them to **Member** first, then suspend.
- Promoting an administrator to owner, or removing an owner, can only be done by an owner.
- There is no way to delete a member outright. Removing someone means suspending them, and the strongest action available is **Suspend and anonymize**, which is permanent. See [How do I remove or delete a member?](#how-do-i-remove-or-delete-a-member).

## How do I edit a member?

1. Click your **profile icon** and select **Administration**.
2. Under **People**, open **Users**.
3. Open the actions menu at the end of the member's row.
4. Select **Edit information**, make your changes, and confirm.

The menu is built from what applies to *that* member, so two rows rarely offer the same items. Role changes move one step at a time along Guest, Member, Administrator, so a guest is offered **Set as Member** and never **Set as Administrator**. On a suspended member, **Restore**, **Detach from activities** and **Anonymise** take the place of **Suspend** and **Suspend and anonymize**. **Send an invitation link** and **Fill a new password** are always listed, whether or not the member has signed in before, and **Send an invitation link** is greyed out for a member who has no email address.

## How do I suspend a member?

Suspending a member closes their access and frees the licence they were using. Their profile is kept, and you can restore them later.

1. In **Administration > Users**, open the actions menu on the member's row.
2. Select **Suspend**.
3. Decide about **Also detach the user from their activities**. See the warning below. It is off unless you tick it.
4. Click **Suspend** to confirm.

**Important: ** suspension on its own leaves the member's roles, circles, projects and upcoming meetings exactly as they are. Ticking **Also detach the user from their activities** removes them from all of it, and that cannot be undone. Restoring the member brings back their access, never their assignments. If you are not certain, leave the box unticked: you can always detach later, but you cannot reattach.

Two things a plain suspension removes anyway, whichever way you leave that box: the member is taken out of every **chat room** and every **homepage portal** they belonged to. Restoring them does not put them back, so note down anything you will need to re-add.

Suspension frees a licence *slot*, so you can invite someone else without buying a seat. It does not change what you are billed — the number of seats on your subscription is contractual and only changes when you resize the plan.

## How do I restore a suspended member?

1. In **Administration > Users**, open the actions menu on the suspended member's row.
2. Select **Restore**.
3. Click **Restore** to confirm.

The member gets their access back, and their licence is used again. Their roles, circles, projects and meetings are still there, unless you detached them when you suspended, in which case they are gone for good and have to be assigned again by hand.

## How do I remove or delete a member?

There is no **Delete** action, so you cannot erase a member's account from the organisation. Removing someone is done in two strengths, both from the actions menu on their row:

- **Suspend** closes their access and frees their licence, keeps their profile, and can be undone. This is the normal way to remove someone who leaves. See [How do I suspend a member?](#how-do-i-suspend-a-member).
- **Suspend and anonymize** closes their access and permanently strips their personal data. Use it when the person's data has to go too, for example for a data-protection request. It cannot be undone.

Use **Suspend and anonymize** in the same actions menu when the personal data has to be removed. It suspends the account and strips the personal data from it: name, display name, profile photo and cover, biography, position, skills, phone numbers and custom fields are all cleared, and the email address is replaced with a generated one. The product warns you that the action cannot be undone, and it means it: an anonymised account cannot be restored.

Anonymising also deletes the person's calendars and takes them out of their chat rooms.

**Already suspended?** You do not need to restore the account first. On a suspended row the menu offers **Anonymise**, which does the same permanent erasure, and **Detach from activities**, which removes the person from their roles, circles, boards and upcoming meetings while the account stays suspended. Detaching cannot be undone either: restoring the account later does not bring the assignments back.

If you are off-boarding through your identity provider, SCIM does this for you: setting an account inactive suspends it, and a SCIM delete anonymises it rather than removing it. ## Troubleshooting

- **"This email can't be modified. This is because this email address is used in another organization"**. The address belongs to an account in another organisation, so only the member can change it, from their own account settings.
- **You invited someone with the wrong email address**: delete the invitation in **Administration > Invitations**, then invite them again with the correct address. Do not suspend the account.
- **The person is not in the Users list**: they have not accepted their invitation yet. Pending invitees live on **Administration > Invitations**; the Users list filters on All, Active and Suspended only.

## Can I suspend several people at once?

Not from **Administration > Users** — that screen works one row at a time. Classic Talkspirit's **Bulk update** screen does it: the spreadsheet it takes has a `status` column, where `suspended` suspends an account and `online` restores one. Anonymisation is deliberately excluded — a row asking for it is rejected and skipped.
