# Email technical requirements


## Email technical requirements

Talkspirit sends all of its email from the **talkspiritmail.com** domain, using two addresses: **noreply@talkspiritmail.com** for notifications and activity emails, and **hello@talkspiritmail.com** for invitations, sign-up and password-reset emails. Allow the whole domain rather than one address, and allow it by sender domain rather than by IP range. Talkspirit relays its mail through third-party providers whose addresses change without notice.

## Which addresses does Talkspirit send from?

Two separate systems send Talkspirit email, and they use different addresses. An allowlist that covers only one of them lets half your mail through and silently drops the rest, which is why the domain is the safer thing to allow.

Both addresses arrive with a display name built from your organisation's name, in the form `Your organisation via Talkspirit`. The two systems do not capitalise the word talkspirit identically, so if you write a filter rule on the display name, make it case-insensitive.

If your allowlist still carries an address at `holaspiritmail.com` or an Amazon SES IP range, it is out of date. Neither is used by the Talkspirit platform and both can be removed.

## Should I allowlist IP addresses?

No, and Talkspirit does not publish a list for you to use. The two sending systems relay through different third-party providers, each provider rotates its outbound addresses, and neither range is under Talkspirit's control. An IP allowlist built today starts failing the first time a provider adds capacity, and the failure is silent.

Allow `talkspiritmail.com` as a sender domain instead. If your gateway can allow a sender by authenticated domain, that is the rule to write. If your security policy makes an IP-level rule mandatory, contact Talkspirit support for the current sending infrastructure rather than working from an older article or a cached list.

## Can I change the sender address?

Not from any administration screen. The sender address is fixed for your organisation and there is no setting for it in Administration.

A per-organisation override does exist in the platform, but it is not exposed in the interface and it only affects the second of the two systems above. Notification emails would still leave from `noreply@talkspiritmail.com` whatever it is set to, so it cannot make all your Talkspirit mail come from your own domain. If sending from your own domain matters to you, raise it with Talkspirit support so the constraint is understood before you plan around it.

What you can change is the name your members see. The display name follows your organisation name, so renaming the organisation changes the `via Talkspirit` line in every email.

## What do the links inside the emails point to?

Links point at your own Talkspirit address, in the form `https://yourorganisation.talkspirit.com/app/...`. Allow that address in any URL-rewriting proxy, link scanner or safe-links service you run, otherwise a member who clicks a notification lands on a rewritten URL that your gateway may block.

Notification emails are sent with click tracking switched off, so the link in the message body is the real destination and not a redirect through a tracking host. That makes them straightforward for a scanner to inspect.

## Why do some Talkspirit emails arrive and others do not?

Because the two systems are filtered differently at your end, and because not every Talkspirit email is classified as transactional mail.

Invitation reminders are the clearest case. The first invitation goes out as transactional mail, but the automatic reminders that follow are sent as bulk mail, which most corporate mail systems filter far more aggressively. So an invitation can arrive while its reminders are quarantined. Digest emails and some mention emails are sent the same way.

One more thing worth knowing before you troubleshoot: the organisation-wide notification switch in Administration only silences the first of the two systems. Invitations, activation emails and password resets keep going out while it is off.
