# Manage all groups as an administrator


## Manage all groups as an administrator

**Administration > Groups** in the new interface is an inventory, not a control panel. It lists every group in your organisation with its name, visibility, member count and creation date, and there is nothing on the page to click. Creating a group, editing it, managing its members, archiving it or deleting it are all still done in classic Talkspirit.

You need organisation administrator rights to open the new Administration console. The classic group screens are open to organisation administrators and to groups administrators.

## What Administration > Groups shows

The table has four columns: **Name**, **Visibility**, **Members** and **Created**.

- **Visibility** has two values, **Public** and **Private**. An open group reads Public; private groups and secret groups both read Private, so the list cannot tell those two apart.
- **Members** is a count. Select **Users** in the same **People** section to see who belongs to what.
- Archived groups are not marked in any way.
- There is no search box, no sorting, no filter, no **Create** button and no per-row menu.
- The page asks for the first 100 groups and offers no pagination, so a large organisation will not see every group here.

The **Groups** entry appears only when the Newsfeed module is enabled for your organisation.

## Where group management happens

1. Select **Groups** in the navigation rail. Classic Talkspirit opens.
2. Select **Administration** in its sidebar.
3. Under **Groups**, select **Manage groups**.

This screen lists every group, including private and secret ones. Archived groups are hidden by default: choose **Archived groups** in the drop-down to see them. The drop-down narrows the list to **All groups**, **Open groups**, **Private groups**, **Secret groups** or **Archived groups**, the **Filter** box searches titles, and the counter above the list reads as a total with an open, private and secret breakdown. **Create group** and **Download groups list (excel format)** sit at the top right, beside a **Topics** tab.

Two warnings can appear under a group, both in red: **This group has no manager.** and an inactivity warning counting the months since the last post.

## What the group actions menu offers

The cog at the end of a group row opens its actions.

| Action | What it does |
|---|---|
| **Manage users** | Lists the group's members and lets you add or remove them and grant group manager rights |
| **Add users** | Opens a picker over the whole organisation. The search box takes `group:`, `skill:`, `position:`, `location:`, `company:` and `manager:` prefixes, so you can pull in everyone from another group or everyone with a given skill in one go |
| **Download users list (excel format)** | Exports that group's members |
| **Become group manager** | Makes you a manager of the group. Once you are one it reads **Revoke my rights and leave group** |
| **Archive group** | Hides the group and its chat room from members. Posts stay searchable but leave the newsfeed and take no more comments or likes |
| **Delete group** | Permanently deletes the content of every app enabled on that group |

**Information & privacy**, which holds the title, description, topic, cover image and privacy level, and the people set entry appear on this menu only once you are a manager of the group. **Become group manager** puts them there.

## Settings that live inside a group

Per-group permissions are configured in the group itself, not in administration. Open the group and select **Settings** in its right-hand panel. Three entries are reserved to managers of that group:

- **Information & privacy**: title, description, topic, cover and privacy level.
- **Manage permissions**: who can post, who can comment, who can pin a comment, who can add and remove members, who can add or delete integrations, who can set up labels, and who can manage or bulk-edit drive files. Most questions offer **Only group managers** or **Allow all members**; commenting can also be set to **Nobody**, and where the validation workflow is enabled, posting offers **All members but a post must be approved by a group manager**. The pin question is the exception: it appears only when the organisation allows groups to override it, its default lives in **Administration > Newsfeed** rather than Groups settings, and its options are **Only administrators** or **Post owners, group managers and administrators**.
- **Manage enabled apps**: which of Newsfeed, Chat, Drive, Calendar and Projects that group uses.

Which permission questions appear at all depends on what **Groups settings** allows a group to override.

## Organisation-wide group settings

**Groups settings**, directly under **Manage groups**, holds the settings that apply to every group: who can create open, private and secret groups, who is notified about new open groups, the organisation defaults for adding and removing members, for integrations and for labels, each with a switch deciding whether a group manager may override it, plus default groups for new members, source groups and other locked groups.

The same page carries **Groups administrators**, the list of members who get **Manage groups** and **Groups settings** without holding full administrator rights. That delegation is real and the server enforces it, but the new Administration console can neither grant it nor show it, exactly as with [User administrator permissions](/en/administration-security/the-user-administrator). Audit it in classic Talkspirit.

## Groups and invitations

You can drop someone into groups as you invite them. In **Administration > Invitations > Invite**, the **Access scope** field decides: choose **Access 1 group** or **Access more than 1 group** and a **Groups** picker appears, listing the same groups as the inventory. Choose **See the holarchy** and no group is set, because that scope grants organisation-wide reading instead. Circles are never offered here: the picker holds groups only.
