# Exporting my organisation's data as an administrator

As an administrator you have three exports, each on the screen of the thing it exports. The organisation structure leaves as a JSON file from **Structure**, the members list as a CSV file from **Administration** → **Users**, and the newsfeed posts as an emailed archive from **Administration** → **Organisation**. This article walks through each one and states what Talkspirit does not export, so you know before an audit or an offboarding what you can hand over.

## How do I export the whole organisation structure?

You need administrator rights. Architect mode, where the export lives, is available only to administrators.

1. Open **Structure** and go to **Explore organisation**.
2. Select **Architect mode** in the chart header.
3. In the orange Architect mode banner, select **Export** (the download icon).

Your browser downloads the structure as a JSON file named `structure-export.json`. The banner's other icon, **Import**, takes such a file back in.

## What does the structure export contain?

The JSON file mirrors your organisation chart. For every circle, role and sub-circle it records:

- The name and identifier
- Purpose, domains and accountabilities
- Custom fields and their values, matched by the field's key

Sub-circles and roles nest under their parent circle, so the file preserves the full hierarchy.

> **Note:** The structure export describes the organisation, not the people in it. It does not record who holds each role. To see a member's roles, open them in the **Members** app; an export of roles with their holders does not exist today.

## How do I export a single circle or role?

In Architect mode, open a circle or role from the chart. The architect band at the top of its panel carries the same **Export** and **Import** icons, scoped to that item. For a circle, choose **"[name]" and everything inside it** or **"[name]" only**, then select **Export**. A role exports on its own. The download uses the same JSON format as the whole-organisation export.

## How do I export the members list?

1. Open **Administration** → **Users**.
2. Open the **Member actions** menu (the ⋯ button at the top right of the list) and select **Export all members**.

The export runs in the background and covers every member of the organisation, whatever filters, sorting or selection the list currently shows. Only one export runs at a time. When it is ready, a **Download the file** link appears on the same page. The link expires after a while; running the export again produces a fresh one.

The file is a CSV with one row per member: identifiers, first and last name, display name, email address, organisation role (administrator or user), status, guest level and profile details such as language, time zone and phone. It does not list the circles and roles a member holds.

## How do I get an archive of the newsfeed?

1. Open **Administration** → **Organisation** and scroll to **Data export**.
2. Select **Request an export** and confirm.

Talkspirit prepares an archive of every group's newsfeed posts as JSON files and sends it to you by email; it cannot be downloaded from the screen. The link in the email expires 24 hours after it is sent, and the archive is deleted 10 days after you requested it. Anyone who can read that inbox can read the export, and it cannot be recalled once sent. The **Requests** list below the button shows past requests and whether each one is still being prepared or has been sent. After a request you may have to wait before you can start another.

## What cannot be exported?

- **Chat history** is not included in any export. Conversations are read on screen.
- **Uploaded files** are not included in the members export or the newsfeed archive. Keep copies from **Drive** before you close an organisation.
- **Role holders**: no export lists roles with the members assigned to them. See the note above.

## How do I re-import a structure export?

In Architect mode, select **Import** in the banner to import into the whole organisation, or in a circle's architect band to import into that circle. Choose a JSON file. Talkspirit checks it against your organisation, then updates the circles and roles it finds and creates the ones it does not. Only what is in the file changes, and nothing is ever deleted. When you import into a circle, new items are created inside it and existing items are updated where they already are.
