# Inviting new users, members, or guests


## Inviting new users, members, or guests

You invite people from one screen: **Administration > Invitations**. You choose whether each person joins as a **member** or a **guest**, and whether they sign up with an email address or with a unique identifier, and Talkspirit sends them a link to create their account.

You need administrator rights. There is no invite control anywhere else, so if you cannot open this screen, ask an administrator to invite the person for you.

**Before you invite anyone**, note that invitation emails go out even when notification emails are switched off for the whole organisation. If you are still setting up, see [Managing email invitations for new members](/administration-security/manage-email-invitations-for-new-members).

## How do I invite someone?

1. Open **Administration**.
2. Under **People**, click **Invitations**.
3. Click **Invite** at the top right.
4. Choose an option. Under **Registration by email** you can **Add a member** or **Add a guest**. Under **Registration without email** you get the same two choices for people who will sign in with an identifier instead.

Then fill in the form:

1. Enter the **Email address**. It is the only required field. **First name** and **Last name** are optional, but supplying them makes the pending list easier to read.
2. Choose an **Access scope** (see below).
3. Write a **Personal message** if you want one. It is included in the invitation email.
4. Click **Send invitation**.

The person now appears on the **Invitations** tab with the status **Pending** until they sign up.

## Member or guest, and what the access scope changes

The **Invite** menu decides the account type, and **Access scope** decides how much of the organisation the person reaches.

- **See the holarchy** is the default. A member invited this way is a full member. A guest invited this way can see the organisation's structure but is still a guest.
- **Access 1 group** and **Access more than 1 group** reveal a **Groups** field, which then has to be filled in. A member joins those groups on top of their normal access. A guest is confined to them and sees nothing else.

So a guest is not automatically limited to one group. That happens only when you pick one of the two group scopes. For what a guest can and cannot do once they are in, see [Guest users](/administration-security/guest-users).

Guests can never invite anyone, whatever the settings say.

## How do I invite several people at once?

Everything below happens in the same dialog, and everyone in it gets the same access scope and the same personal message.

- Click **Add another person** to add a row.
- Click **Or paste a list of email addresses**, paste your list into the box, then click **Add emails one by one**. Addresses may be separated by line breaks, commas or semicolons.
- Pasting several addresses straight into the **Email address** field does the same thing: the extra addresses become their own rows.

There is no spreadsheet import in the new interface. If you have a long list to bring in from a file, that is still done in classic Talkspirit, under its own Administration, where you download a template and upload a completed Excel file of up to 1000 people.

## How do I invite someone who has no email address?

First turn the option on: go to **Administration > Authentication**, open the **Sign-up settings** tab, and switch on **Unique identifier (UID)**.

Then invite as usual, but pick **Add a member** or **Add a guest** under **Registration without email**. The first field becomes **Unique identifier** instead of **Email address**. Use something the person already has and that is unique in your organisation, such as a personnel number.

No email is sent for these invitations, so nothing arrives on its own: you have to pass the access code to the person yourself. The **Invitations** screen in the new interface does not display those codes, so retrieve them in classic Talkspirit. ## How do I invite people with a link?

Use this when people have trouble receiving invitation emails, or when you want a single link to hand out.

1. Open **Administration > Invitations** and click the **Settings** tab.
2. Switch on **Enable the invitation link**.
3. Click the copy button beside the link, and share it.

Anyone who has the link can sign up, so treat it as you would a shared password.

Switching the option off stops the link working immediately. Switching it back on brings back **the same link**, not a new one, so a link you circulated months ago starts working again. If you need to retire a link for good, keep it switched off.

## Can members invite people, rather than administrators?

Open the **Settings** tab and switch on **Allow members to invite new members**. **Restrict to allowed domains** then limits them to the email domains you accept for sign-up, which you set under **Administration > Authentication > Sign-up settings > Allowed domains**. That restriction applies to members only. Administrators can always invite any address.

Be aware of where that permission takes effect. The **Invitations** screen and its **Invite** button are administrator-only, and the new interface offers members no other way in. A member with the permission finds their **Invite** button in classic Talkspirit, on the **Users** screen. Invitations they create appear in the same pending list, and you manage them the same way.

## How long does an invitation stay valid?

Invitation links do not expire. An invitation stays usable until the person signs up or you delete it, however long that takes.
