# Setting up a calendar inbox

A **calendar inbox** is an email address that accepts meeting invitations. When someone invites that address to a meeting, the invitation is routed to the circles you attached to the inbox, so a meeting organised in an external calendar still reaches the right people in Talkspirit. You manage inboxes under **Meetings → Settings → Inboxes**.

This is the counterpart to subscribing to Talkspirit meetings from your own calendar. If you want your Talkspirit meetings to appear in an external calendar, see [Synchronising meetings with an external calendar](/en/structure-governance/allow-external-calendar-synchronization) instead.

## Before you begin

You need **meeting administrator** rights. The Inboxes page is available only to meeting administrators; other members are returned to the Meetings page if they open it.

## Creating an inbox

1. Go to **Meetings → Settings → Inboxes**.
2. Select **Add inbox**.
3. Enter a **Display name**, for example `Team Meetings Inbox`. This is the label you will recognise the inbox by in the list.
4. Check the **Slug**. Talkspirit fills it in from the display name (lowercased, with accents removed and spaces turned into hyphens), and the slug is what the inbox's email address is built from. Edit it if you want a different address; once you edit it by hand, it stops following the display name.
5. Under **Recipients**, choose the circles that should receive invitations sent to this inbox. **At least one circle is required**, and you can search by circle name to find them.
6. Select the create button to confirm.

The new inbox appears in the list with its name, its **email address**, its status and how many recipients it has. Talkspirit generates the email address for you, so copy it from this list to give to whoever is sending the invitations.

## Statuses

Each inbox is in one of three states:

- **Active**: the inbox accepts invitations.
- **Paused**: temporarily not accepting invitations, without being removed.
- **Disabled**: switched off.

Use **Paused** when you want to stop the flow for a while, for example during a reorganisation of the circles that receive the invitations, and keep the address and its configuration intact.

## Editing an inbox

Open the inbox from the list to change its **display name**, its **status**, or its **recipient circles**.

The slug, and therefore the email address, is set when the inbox is created. If you need a different address, create a new inbox and delete the old one, remembering that anyone still inviting the old address will need to be told.

## Deleting an inbox

Select the delete action on the inbox's row and confirm. Deleting cannot be undone, and invitations sent to that address afterwards no longer reach anyone in Talkspirit, so tell the people who use the address before you remove it.
