# Publications Overview


## Publications Overview

In Talkspirit, publications are called **working agreements**. They live in the Structure module, in one list of every document your organisation has written down: circle policies, procedures, onboarding guides, team agreements. Each document belongs to a circle or a role, carries a document type, and keeps a version history you can restore from.

> **Note:** Your organisation can rename this vocabulary. An administrator who changes the term in Administration, under Terminology, sees their own word in place of "working agreement" everywhere in the app.

## Where publications live

Open **Structure** in the navigation rail, then **Working agreements**. The list shows every document you have access to, with its type, the circle or role it belongs to, and its publish date.

There is a single list, not a personal view and an organisation-wide one. Narrow it instead:

- **Filter** by status, by starred, by circle, by role, by document type or by when the document was last modified.
- **Group** the list by status, role, circle or type.
- **Star** a document from the star at the end of its row to reach it from **Starred working agreements** in the sidebar.

Status shows in the list itself. A document you have started but never published reads **Not published yet**. A published document with edits waiting to go out carries a **Pending changes** badge.

## What a publication holds

Select a row to open the document. The expand control at the top of the panel opens it full page.

The header carries the document status, the **Edit** button and the document menu. The right column holds:

- **Belongs to**, the circle or role that owns the document.
- **Contributors**, the members and roles working on it.
- **Type**, the document type, which decides the publishing workflow.
- **Review date**, an optional date for the next review.
- The **Comments** and **Activity** tabs.

## Document types set the workflow

Document types categorise your publications and decide how each one is published. Administrators manage them in **Structure settings**, under **Working agreements**.

Each type carries one of two workflows:

- **Direct**: the document is saved and published without review.
- **Governance**: the document goes through circle consent before it is published.

A new organisation starts with five system types: Working Agreement, Procedure, Policy, Technical Doc and Other. Policy uses the Governance workflow; the other four publish directly. Administrators add their own types and switch any type's workflow. The screenshot above comes from an organisation migrated from Holaspirit, which keeps its own migrated types instead of the five defaults.

## Who can see a publication

Visibility is set at two levels.

At circle level, open the circle's settings and go to **Privacy**. **Attachments & agreements visibility** offers **All organisation members** or **Circle members only**, and new circles restrict their documents to circle members.

At document level, **Manage access** sets the document to **Public** (anyone in the organisation can find and view it), **Restricted** (only people and teams granted access) or **Private** (only people explicitly granted access). A padlock next to a title in the list means the document is not public.

## How consent applies

Consent is set on the document type, not on the organisation or the circle. When a document's type uses the Governance workflow, saving it creates a draft proposal for the circle to review, and the document is published once the circle consents. Publishing it directly is refused.

Two consequences worth knowing before you start:

- Only a decision maker in the target circle can create a document of a consent type there.
- Editing a published consent-gated document does not change it in place. The edit becomes a proposal too.

## Version history

Every time you publish, Talkspirit records a version. Open the document menu and choose **Version history** to list them, and **Restore** to bring an earlier one back. Restoring replaces the current draft with the older content.

Version history lists versions rather than the changes between them, so there is no side-by-side comparison of two revisions.

## Working on a publication together

Collaboration on a working agreement is asynchronous. One person edits at a time, saves a draft, then publishes.

Around the content, you can:

- Comment on the document, or highlight a passage and comment on that passage.
- Resolve a thread once it is settled, and reopen it later.
- Mention a member with **@** in a comment. Mentioned members are notified.
