# Using the Translation add-on


## Using the Translation add-on
Once an administrator has switched the Translation add-on on and activated at least one language, Talkspirit machine-translates your circle and role content into those languages. Any member can then read a circle or a role in one of them, using the **Translate** control in the page header. Members appointed as translators review and validate those automatic translations from Structure settings.

## How do I read a circle or role in another language?

You need no particular rights for this. The control appears for every member as soon as your organisation has at least one active language.

1. Open the circle or the role.
2. Select the **Translate** icon at the top right of the page, next to the `...` menu. The keyboard shortcut is `Alt` + `T`.

3. The icon becomes a chip reading **Translated to**, followed by the language. The name, purpose, domains and accountabilities on the page switch to that language.
4. To read a different language, open the dropdown inside the chip and pick one.
5. Select the `✕` on the chip to go back to the original.

Your choice follows you from page to page while you browse, and it is not saved to your account: reload the app and content is back in its original language.

The first language offered is the one set on your account, if your organisation translates into it. If nothing has been translated yet for the language you pick, the chip reads **Original · translation pending** and a notice tells you that you are reading the original.

## What content is translated?

Translation covers the text of your circles and roles: their name, purpose, domains, accountabilities, and text custom fields. Everything else in the interface stays as it is.

New and edited content is picked up automatically by a sweep that runs roughly every hour, so a role you renamed a minute ago may take a little while to appear in the other languages.

## Does search find translated content?

No. The search box at the top of the app, and the chart search, both match the **original** wording. Searching for a French role name will not find a role authored in English, even while you are reading the page in French.

Translated wording is searchable in one place only: the review list for a language, described below.

## How do I review and validate translations?

Translators and administrators review the machine translations before they are trusted. Machine translation gets the meaning across; a human check is what makes the wording right for your organisation.

1. In the **Structure** app, select **Structure settings** at the bottom of the left rail, then **Translation**.
2. The overview shows one card per active language, with how many items are validated, how many are awaiting translation, and who is assigned to it.

3. Open a language. You get every circle and role in that language, with its **Original name**, its type, its status and when it was last updated. Use **Filter**, **Sort**, **Group** and the search box to narrow the list. Statuses are **Awaiting translation**, **To review** and **Validated**.
4. Select an item. It opens beside the list with the original text above each translated field, so you can compare them. Edit any translated text directly.
5. Select **Validate & next** to approve every field of that item and move to the next one. **Hide original** collapses the source text, and the status dropdown lets you send an item back to **To review**.

Your edits are saved as you make them, and they are kept when the automatic translation runs again.

If you are a translator, you see only the languages you have been assigned to, and **Translation** appears in Structure settings only once you have at least one assignment.

## What can only an administrator do?

- **Manage languages**, from the `...` menu at the top right of the Translation page. Deactivating a language hides its translation progress; you can add it back later.
- **Assign translators**, from the `...` menu on a language card. A member can be a translator for several languages, and there is no limit on how many translators a language may have.
- **Trigger translation now**, on the same menu, instead of waiting for the hourly sweep. **Retranslate** does the same for a single circle or role.
- Switch the add-on on or off, under Administration, in **Modules**, **Structure**, **Add-ons**.
