# Scheduling, starting, editing, and deleting a meeting


## Scheduling, starting, editing, and deleting a meeting
In Talkspirit you always schedule a meeting first, whether it starts in ten minutes or next month, then open it with **Start meeting** when it is time to begin. A meeting can repeat on a recurrence, and afterwards you can change or delete a single occurrence or the whole series.

> **In summary:** Go to the **Meetings** app, click **Add meeting**, fill in the form and click **Save**. Open the meeting and click **Start meeting** to run it. The three-dot menu on any row carries **Edit meeting**, **Edit recurrence** and **Delete**.

Any member can create a meeting. Guest accounts can, depending on their guest level. Once the meeting exists, editing and deleting it are reserved for the organiser, the note taker, and any participant who has been given editing rights. Every participant, including members invited through a circle or a role, can start the meeting and add agenda items to it.

## Schedule a meeting

1. Open the **Meetings** app in the navigation rail, then click **Add meeting**.
2. Enter a title, then click the date row to set the start and end date and time.
3. Add **participants**: members, circles, or roles. Adding a circle or a role invites everyone in it.
4. Choose **Public** (visible to everyone in the organisation) or **Private** (visible only to invited participants).
5. Set where the meeting happens: **In person**, **Video**, or **Hybrid**. **Video** generates a link for you, or you can paste your own.
6. Pick a **Template** to preload the agenda, or keep **None - open meeting** for a free-form agenda.
7. Click **Save**.

The meeting is created with the status **Scheduled** and appears in the list. The confirmation message carries an **Open** action that takes you straight to it.

To run the meeting, open it and click **Start meeting**. Its status changes to **In progress**, the agenda notes become editable, and participants who have the meeting open see it start live.

> **Note:** The person who takes the minutes is the **note taker**, called the Secretary in Holacracy. By default this is the organiser. To hand it over, open the participants panel from the meeting header, then choose **Make note taker** on someone's row.

## Set or change a recurrence

The recurrence control sits just under the date row in the meeting form. It shows the current pattern, so on a new meeting it reads **Does not repeat**. Click it to choose one of the presets: **Every weekday (Monday to Friday)**, **Weekly on** the meeting's own weekday, **Monthly on day** the meeting's own date, or **Daily**.

For anything else, including every two weeks, several days a week, or a yearly cadence, choose **Custom...**. The custom dialog sets the interval in days, weeks, months, or years, which weekdays it lands on, and when it ends: **Never**, **On** a date, or **After** a number of occurrences.

Adding a recurrence to a meeting that does not have one turns it into a series. Talkspirit asks you to confirm with **Make recurring**, then generates the future occurrences automatically. **Remove recurrence** on the three-dot menu does the reverse: it ends the series and cancels every future occurrence, and it cannot be undone.

## Edit a meeting

1. Click the **three-dot menu** on the meeting's row.
2. Choose **Edit meeting**.
3. Change what you need, then click **Save**.

On a recurring meeting, Talkspirit then asks which occurrences to update, with the choice of **This event**, **This and following events**, or **All events**.

To change the cadence instead of one occurrence's details, choose **Edit recurrence** on the same menu. That change always applies to this occurrence and every following one in the series, so there is no scope question to answer.

You cannot change the date, time, or recurrence of a meeting that is already running. End it first.

## Delete a meeting or a series

1. Click the **three-dot menu** on the meeting's row.
2. Choose **Delete**.
3. On a recurring meeting, pick **This event**, **This and following events**, or **All events**, then click **Delete**.

> **Warning:** A one-off meeting is deleted the moment you click **Delete** on the row menu, with no confirmation step. Deletion cannot be undone and all participants are notified.

**Delete** is greyed out while a meeting is running. End the meeting first.

Deleting a meeting does not move its agenda items anywhere. If you want to keep them, move them to another meeting before you delete this one.
