# Using Spark on a role or a circle


## Using Spark on a role or a circle

Spark writes the content of a role or a circle for you: its purpose, its domains and its accountabilities. It works inside the form rather than instead of it. You open the form the usual way, click the sparkle icon beside a field, and Spark drafts that field from what is already on the form.

Spark does not create the role or the circle. There is a **Create with AI** tile in the role creation form, and it is greyed out in every organisation. Create the role or the circle yourself, then let Spark fill it in.

## Before you start

The **AI assistant** must be switched on for your organisation. An administrator turns it on under **Administration** > **AI assistant** > **Activation**. Until then none of the sparkle icons described here appear at all. See [Enable the AI assistant for your organisation](/en/administration-security/how-to-enable-spark-for-your-organisation).

You also need decision-making rights in the circle concerned to open the forms below. Being an organisation administrator is not enough on its own: those rights come from an assignment in that circle. One thing stays open to everyone who can see a role, and it is described at the end of this article: **Review accountabilities**.

## How do I use Spark on a role?

1. Open the role's page, open the **...** menu in the header and click **Edit**.
2. Click the sparkle icon beside **Purpose**. The icons carry no text, so hover one to see what it does: this one reads **Suggest purpose**. Spark starts drafting as soon as you click it.
3. Read the draft, then click **Accept** to put it in the field, **Refine** to ask for changes, or **Dismiss** to throw it away. Clicking outside the popover will not close it while a draft is on screen, which is deliberate: use **Dismiss**.

4. **Refine** opens a **What would you like to change?** box. Type your instruction, then click **Regenerate**. This is the only way to ask for another version. There is no one-click regenerate beside the field.
5. **Suggest domains** and **Suggest accountabilities** return a list rather than a paragraph. Every item is ticked to begin with, with **Select all** and **Deselect all** above the list. Untick what you do not want and click **Add selected**, which counts your selection. The items you keep are added to what is already on the form, they do not replace it.

6. Finish the form as usual, then read "What happens to my changes" below.

## How do I use Spark on a circle?

The same three icons, in the same places. Open the circle's page, open the **...** menu and click **Edit**. The dialog that opens is called **Propose changes to** the circle's name, and it carries a sparkle icon beside **Purpose**, **Domains** and **Accountabilities**.

Hovering the Purpose, Domains or Accountabilities card on the circle's page reveals a **Propose changes** control as well. It opens the same dialog, scrolled to that section.

## Can Spark create a role or a circle for me?

Not on its own, but it can draft the new role's content while you create it.

**Where the sparkle icons are, and are not.** Add the role from the **New** button in the Structure module and choose **Add role**. You pick the circle, the proposal is created, and you land on the proposal's page with the role's card already open. That card carries the same three sparkle icons, so you can type the name and let Spark draft the purpose, domains and accountabilities before you submit.

Adding a role from the circle's own **...** menu takes you through a different form, and that one has no sparkle icons. Neither does the card for a new circle: a circle's content has to be written by hand.

**Create with AI does nothing.** The **Create role** step offers four tiles: **Create from scratch** and **Create with AI** under "From scratch", **Copy from existing role** and **Import role template** under "From a model". **Create with AI** is greyed out and cannot be selected. This is not a permission problem, and switching the AI assistant on does not enable it.

## What happens to my changes?

Accepting a suggestion only fills the field in. Nothing is recorded until you use the buttons at the bottom of the form:

- **Save as proposal** puts your changes into a new draft proposal without submitting it. The chevron beside it offers **Add to a proposal**, to attach them to a draft you already have.
- The primary button reads **Submit for review**, or **Validate** in circles that set their own auto-validation delay instead of following the organisation default. Both do the same thing: they submit the proposal.
- On your organisation's top-level circle there is no proposal at all. The button reads **Save** and the change applies straight away.

Every button stays greyed out until you actually change something, so a form you have only opened looks inert. That is expected, not a fault.

## Can Spark check accountabilities I have already written?

Yes. On a role's page, hover the **Accountabilities** card and click the sparkle icon whose tooltip reads **Review accountabilities**. Spark returns a clarity check: a score, a list of what it finds ambiguous, and a list of suggested improvements. It only reads the role, so it stays available to anyone who can see it, including people with no decision-making rights.

## Does Spark work with role templates?

Yes, on the proposal page. The role's card there has its own template picker, and importing a template simply pre-fills the card, so the sparkle icons behave exactly as they do on any other role. The wizard's **Import role template** tile leads to a form with no sparkle icons, like the rest of the wizard.

**Note:** an organisation can rename its own governance terms, and it can hide some of them altogether, so "proposal", "purpose", "domains" and "accountabilities" may read differently on your screen, or not appear on the form at all. A field that is hidden has no sparkle icon either.
