# Hand a meeting or a series over to another organiser

As the organiser of a meeting, you hand it to another participant with **Transfer ownership** in the meeting's actions menu, or with **Make organiser** on their row in the **Participants** panel. On a recurring meeting you choose whether the hand-over covers this occurrence, this and the following ones, or the whole series, and you can leave the meeting in the same move. The new organiser is notified.

> **In summary:** Open the meeting's actions menu, choose **Transfer ownership**, pick the **New organiser**, choose the scope on a recurring meeting, tick **Remove me from this meeting** if you are leaving, then click **Transfer**.

## Who can hand a meeting over

The organiser of a meeting hands over that meeting; the organiser of a series hands over the series. An organisation administrator can hand over any meeting they can see, whether or not its organiser is still active, and the leave option then removes that organiser rather than the administrator. See [Meeting permissions: who can do what](/en/structure-governance/meeting-permissions).

The new organiser must already be on the meeting, invited directly or through a circle or a role, and must be an active member. A circle or a role cannot become the organiser. If the person is not on the meeting yet, the dialog asks you to invite them first.

## Hand a meeting over

1. Open the actions menu in the meeting header and choose **Transfer ownership**. The same entry sits in the three-dot menu of the meeting's row in the list, and **Make organiser** on a person's row in the **Participants** panel opens the same dialog with that person selected.
2. Under **New organiser**, choose a participant. A person invited through a circle or a role shows the group they come from.
3. On a recurring meeting, choose which meetings the hand-over applies to: **This event**, **This and following events** or **All events**. Meetings already held keep their organiser.
4. Tick **Remove me from this meeting**, or **Remove me from these meetings** on a series scope, if you want to leave in the same move. Leave it unticked to stay on the meeting as a participant.
5. Click **Transfer**. If you chose to leave, the dialog **Hand over and leave?** summarises what changes; click **Hand over and leave** to confirm.

![The Transfer ownership dialog with a new organiser chosen, the scope "This and following events" selected, the note that meetings already held keep their organiser, and the unticked Remove me checkbox above Cancel and Transfer](/images/structure-governance/hand-over-a-meeting-to-another-organiser/01-transfer-ownership-dialog.png)

A confirmation reads that the person is now the organiser. The dialog never offers the person who already organises the chosen scope: after you hand over one occurrence, the series keeps its own organiser, and the series scopes still list that person.

## What leaving changes

Leaving removes you from the meeting, or from every meeting in the chosen scope. The agenda items you added on those meetings pass to the new organiser. You cannot undo it yourself: the new organiser would need to invite you back.

You cannot remove yourself from a meeting that has already started or been held. On that meeting alone the option is greyed out with *You can't remove yourself from a meeting that has started*; handing it over is still possible. On a series scope, occurrences that have started or ended are skipped and you stay on them.

## What happens to the calendar invitation

This section applies when the invitation reached the attendees from your connected calendar; see [Synchronising meetings with an external calendar](/en/structure-governance/allow-external-calendar-synchronization). When you hand a meeting over and stay on it, the invitation keeps coming from your calendar, and the new organiser is added to it.

When you leave as well, the invitation follows the new organiser. For a one-off meeting or the whole series, yours is cancelled at once and the attendees get a new one from the new organiser's calendar, or by email from Talkspirit if they have no calendar connected; everyone answers it again. With **This and following events**, yours stays while you still organise earlier dates of the series, and it is cancelled and re-sent once the last of them has passed. Leaving a single occurrence of a series changes nothing: that date stays part of the series invitation, which stays with whoever sent it.

> **Note:** Dates that have already passed may show again in the attendees' calendars after a re-sent series invitation.

## The new organiser is notified

The new organiser receives the notification **You are made organiser**, by email and on the desktop, switchable under **Account** > **Notifications** on the **Meetings** tab. Administrators set the organisation default for that row under **Administration → Organisation → Notification emails → Configure**, on the **Meetings** tab. An administrator who takes a meeting over for themselves is not notified, and a meeting created for someone else sends them **Meeting scheduled** instead.
