# Synchronising meetings with an external calendar


## Synchronising meetings with an external calendar
Your meetings can appear in the calendar you already use. There are two ways to do it and both live on one page: **Calendar Synchronisation** connects a Google or Microsoft Outlook account directly, and **ICS Calendar Feed** gives you a subscription URL for any other calendar application.

> **In summary:** open the **Meetings** app, click **Meeting settings** at the bottom of the sidebar, then **Synchronisation**. Click **Connect Google Calendar** or **Connect Microsoft Outlook** and sign in to that account in the popup, or switch on **Enable ICS feed** and copy the URL into your calendar application.

This is a personal setting. You need no particular rights, it applies to your account alone, and no administrator turns it on or off on your behalf.

## How do I open the synchronisation settings?

1. Open the **Meetings** app.
2. Click **Meeting settings** at the bottom of the sidebar.
3. Click **Synchronisation**.

## How do I connect Google Calendar or Microsoft Outlook?

1. On the **Calendar Synchronisation** card, click **Connect Google Calendar** or **Connect Microsoft Outlook**.
2. Sign in to that account in the popup that opens, and grant access to your calendar.
3. Close the popup once it returns you to Talkspirit. The provider then shows a **Connected** badge and its button becomes **Disconnect**.

You can connect one provider at a time. While Google is connected the Outlook button stays greyed out, and the page tells you to disconnect the current one to switch.

Each synced event carries the meeting's title, its start and end times, its description and its location. When the meeting has a videoconference link, that link is added to the event description on its own line, beginning *Join online:*. The meeting's circle and its template are not copied across.

> **Note:** the connection opens in a real browser popup, so a popup blocker will stop it. If nothing appears, allow popups for Talkspirit and click the button again.

## How do I subscribe from another calendar application?

Use the ICS feed for Apple Calendar, Thunderbird, or anything else that reads a calendar URL.

1. Switch on **Enable ICS feed** on the **ICS Calendar Feed** card.
2. Click the copy button beside the **ICS feed URL** field.
3. Paste the URL into your calendar application as a new calendar subscription.

The feed lists the meetings you take part in, both those still to come and those recently past. It is yours alone, and it is read-only: editing an event in your calendar application changes nothing in Talkspirit.

> **Warning:** the feed URL is a key to your meetings, so treat it like a password and share it with nobody. If it does get out, click **Regenerate URL**. That invalidates the previous URL straight away, so you then have to paste the new one into every calendar application that was using the old one.

## How do I stop synchronising?

Click **Disconnect** beside the connected provider, or switch **Enable ICS feed** off. Either way it applies to your account only, and it leaves the meetings themselves untouched.
