# Adding attachments to roles and circles


## Adding attachments to roles and circles

Every role page and every circle page carries an **Attachments** tab. It holds two kinds of thing: files you upload, which Talkspirit stores, and links to documents that live somewhere else. Use it to keep a role's reference material with the role instead of in a chat thread.

## Where is the Attachments tab?

On the role or circle page, in the tab strip beside **General**, **Members** and **Working agreements**. It is on every role and every circle, in every organisation. No add-on, plan or setting removes it, and you need no particular standing in the circle to open it.

Three buttons switch the list between grid, list and table. **Group** splits the list by source, files against links, or by file type. The search box filters by name.

## How do I add an attachment?

1. Open the **role** or **circle** page.
2. Click the **Attachments** tab.
3. Click **Add attachment**. On an empty tab, the same button sits in the middle of the page.
4. Pick a source from the **Add file** menu.
5. For **From computer**, choose the file. For **Link**, paste the address and press Enter.

The attachment appears in the list straight away, with the date you added it.

## Which sources can I use?

**From computer** uploads a copy that Talkspirit stores. **Link** saves an address and lists it as an **External link**. Between them sit **Google Drive**, **Dropbox**, **OneDrive** and **Box**, each appearing only if your organisation has that picker switched on and connected. Where none is connected, the menu offers only From computer and Link.

The size limit shown next to **From computer** applies to each file and comes from your plan, so the figure in your own menu is the one that counts. Separately, a role or circle holds **50 attachments** in all, and the same file or address cannot be attached twice to the same role or circle.

> **Note:** a link is listed under the address you pasted, and the Attachments tab has no rename. Paste the address you are happy to read in the list.

## Who can add or remove an attachment?

Anyone who can open the tab can add. There is no separate permission for adding.

Removing is narrower. The **Remove** action appears for a **decision maker** of the circle concerned, meaning the circle that contains the role for a role, or the circle itself for a circle, and for organisation administrators. Everyone else sees the list with no row menu.

Click **Remove** and a **Remove attachment?** confirmation appears. Removing unlinks the attachment from the role or circle and does not delete the original file.

> **Note:** only the person who added an attachment can actually remove it. A decision maker who clicks **Remove** on a colleague's attachment gets an error instead of a removal, so ask whoever added it.

## Who can see a circle's attachments?

Everyone in the organisation, unless the circle narrows it. Open the circle's **Settings**, then **Privacy**, and set **Attachments & agreements visibility** to **Circle members only**. A file held in a cloud provider also keeps that provider's own sharing rules, so a colleague can see the row in the list and still not open the document.
