# Adding agenda items to a meeting


## Adding agenda items to a meeting

Every member of a meeting can add agenda items, and the same **Agenda** panel serves the meeting whether it is still scheduled or already running. Open the meeting, type the item in, and it is on the agenda for everyone invited.

## Who can add an item?

Anyone the meeting invites, directly or through a circle or a role. You do not need editor rights: adding an item counts as a contribution, not a change to the meeting record.

On a **Public** meeting it is wider than that. Anyone in your organisation who can open the meeting can also add to its agenda, whether or not they were invited. If that is not what you want for a particular meeting, set it to **Private** when you create it, and only its participants can contribute. ## How do I add an agenda item?

1. Open the **Meetings** app and click the meeting.
2. Find the **Agenda** panel next to the meeting notes.
3. Type the item title into **Add an item**.
4. To hand the item to someone else, click the avatar button to the left of the field and choose a **presenter**. It defaults to you.
5. Press Enter or click the plus icon.

The item appears at the end of **Items to Process**. Click it to add a description, a planned duration, and notes. Notes save as you type, so whoever takes notes during the meeting starts from your preparation rather than a blank page.

You can also add an item without opening the meeting at all. In the meetings list, hover over the meeting row and click **Add agenda item** in the **Add** column.

## How do I import an item I parked earlier?

An agenda item you create without choosing a meeting waits in your **parking lot**, in the **Agenda items** app. The number on the **Import** button is how many are waiting for you. Move one onto an agenda from either end:

- **From the meeting:** click **Import** in the **Agenda** panel, tick the items you want, then confirm with the button at the bottom, which counts your selection: **Import 2 items**. **Select all** takes the whole list, and you can search it by keyword if your parking lot is long.
- **From the Agenda items page:** open the item's actions menu and choose **Bring to a meeting**.

> **Note:** The import list only shows items you created. Parked items stay with their author until they land on a meeting agenda, so you cannot import a colleague's item for them.

Tensions and proposals reach an agenda from their own side, not from the meeting. A proposal carries a **Bring to a meeting** action, covered in [Using Bring to meeting](/structure-governance/how-to-use-bring-to-meeting). A tension becomes an agenda item when you process it: open it and choose **Transform into… › Create an Agenda Item**. Tensions belong to the Holacracy add-on and your organisation can rename the term, so the word on your screen may differ. ## How do I edit, remove, or reorder items?

Open the actions menu, the **...** button on the right of the item row:

- **Edit agenda item** opens the item so you can change its title, description, presenter, and planned duration.
- **Remove from meeting** takes the item off this agenda and returns it to your parking lot, so nothing is lost.

Your own items are always yours to edit. The panel has no **Delete**: deleting an item outright is done from **Meetings › Agenda items**.

## What changes once the meeting starts?

Two things, and only two:

- **Someone else's item becomes editable** to the organiser, an editor participant, and the note taker. Before the meeting starts, **Edit agenda item** appears only on items you created or present.
- **Those same rights unlock reordering**, using the drag handle on the left of each row. Items already processed stay where they are.

Everything else on this page works the same way before and during the meeting.
