# Structure statistics and Holacracy activity figures

Structure settings hold two sets of figures for organisation administrators. The **Statistics** page lists the organisation and then every circle, with its decision makers, roles, vacant roles, ended terms, sub-circles, open tasks, open goals and their health, policies and closed meetings, and exports them as an Excel workbook. With the Holacracy add-on on, the **Holacracy** tab of **General** settings adds an activity card (circles with a change, a tactical or a governance meeting over the last 30 days, last month or last quarter), two 12-month charts (changes adopted and meetings closed per month) and a per-circle export of the last 30 days.

## Prerequisites

You need to be an organisation administrator. The **Statistics** entry is hidden from everyone else, and a pasted link opens a page that reads **This page is reserved for organisation administrators**. The **Holacracy** tab exists only while the Holacracy add-on is on, and its statistics are shown to organisation administrators only: a Structure administrator who is not an organisation administrator sees the tab without them.

Circle, role, sub-circle, task, policy, proposal and election are the default names. If your organisation renamed them under **Administration → Terminology**, the column and filter labels use your words.

## What does the Statistics page show?

Open the **Structure** module, select **Structure settings** at the bottom of the left panel, then **Statistics**. The page is one table, **By circle**: the **Organisation** row first, then every live circle in alphabetical order. **Each row counts only its own items, never those of its sub-circles**, so the organisation row is not the sum of the circle rows.

![The Statistics page of Structure settings: the By circle table with the Organisation row first and one row per circle, the About these figures legend, and the Export the statistics section with its Export button](/images/goals-analytics/structure-statistics/01-statistics-by-circle.png)

| Column | A circle row counts | The Organisation row counts |
|---|---|---|
| **Decision makers** | Members of the circle who are decision makers | The organisation's active members (guests and suspended accounts excluded) |
| **Other members** | The rest of the circle's members | No figure |
| **Roles** | The circle's own roles, core roles and cross-circle roles included, never its sub-circles | Every role in the organisation |
| **Vacant roles** | Roles that nobody holds | Every vacant role |
| **Ended terms** | People still holding a role past the end date of their assignment, whatever the kind of mandate | Every one |
| **Sub-circles** | Direct sub-circles | Every circle, the root included |
| **Open tasks** | Tasks neither done nor archived, on projects assigned to the circle or to one of its roles | Every open task |
| **Open goals** | Draft or active goals owned by the circle, by one of its roles, or by a member through one of its roles | Every open goal |
| **Goal health** | Those open goals split into **On track**, **At risk** and **Blocked**; a goal with no health set is in none of the three | Same, organisation-wide |
| **Policies** | Published policies owned by the circle | Every published policy, role-owned ones included |
| **Meetings** | Closed meetings attached to the circle | Every closed meeting, those with no circle included |
| **Last meeting** | Start of the circle's latest closed meeting | Same, organisation-wide |
| **Last goal** | Creation date of the circle's newest goal, whatever its status | Same, organisation-wide |

Three details about reading the table:

- **Ended terms** counts assignments whose end date is before today: nothing ends an assignment by itself when its date passes, so the holder stays until someone acts. A term ending today still runs.
- Select a column header to sort. The **Organisation** row stays first, and rows without a figure go last in both directions. **Goal health** sorts by blocked goals first, then at risk.
- A dash means the figure could not be read, never zero. A notice above the table names which of the three sources (tasks and goals, meetings, or the member count) did not answer; reload the page to try again.

Selecting a circle's name opens the circle.

## How do I export the statistics?

Under **Export the statistics**, select **Export**. The workbook builds in the background and a progress bar follows it; select **Download the .xlsx** when it is ready, or **New export** to build a fresh one. The download link expires after a while, in which case run the export again. The export always covers the whole organisation.

The workbook has three sheets:

| Sheet | Content |
|---|---|
| **Circles** | The table above, one row per circle with the organisation first, plus the parent circle, the names of its core roles, of its elected roles and of its assigner roles |
| **Distribution** | For each number of roles (0, 1, 2 and so on): how many people hold that many roles, and how many roles that represents |
| **Summary** | Total members, total circles, total roles, people with and without roles, median and average roles per person, median and average circles per person, and one **Unique** row per core role template giving the number of distinct holders |

> **Note:** The export refuses to build when a source cannot answer, so a workbook never carries a missing figure. If **The statistics export failed** appears, try again later.

## What does the Holacracy tab show?

Open **Structure settings → General** and select the **Holacracy** tab. Below the add-on's visibility switch and its decision rules, three sections and an export answer the question "how alive is our governance?". Every window is counted in UTC.

### Activity

Choose a **Period**: **Last 30 days** (up to now, the default), **Last month** (the previous calendar month) or **Last quarter** (the previous calendar quarter). Three cards then count, out of the organisation's live circles:

- **Circles with a change**: circles in which at least one proposal was adopted in the period. A proposal counts once whatever it changes, and is dated by the day it was adopted.
- **Circles with a tactical meeting**: circles with at least one closed tactical meeting in the period.
- **Circles with a governance meeting**: the same for governance meetings.

Each card reads **of N circles**, so the share you may be used to from a monthly report is the card divided by that number. A circle counts once per card however many changes or meetings it had, and a deleted circle's activity is not counted.

### Changes

The chart shows **Changes adopted per month** over the last 12 months, the current month last, with the monthly figures listed under it. Three filters narrow it:

- **Circle**: **All circles**, or one circle picked by search.
- **Change**: **All changes**, **Circle added**, **Circle edited**, **Circle deleted**, **Role added**, **Role edited**, **Role deleted**, **Election**, **Policy added** or **Policy edited**. A proposal carrying several kinds of change counts under each of them. A proposal that moves a role or circle counts under **All changes** only, and there is no filter for removed policies.
- **Adopted**: **Anywhere**, **In a meeting** or **Outside a meeting**. A proposal adopted while a meeting processed it counts as in a meeting; any other adoption counts as outside a meeting.

### Meetings

The chart shows **Meetings closed per month** over the same 12 months, one line for **Tactical** and one for **Governance**. The **Circle** filter restricts it to one circle; with **All circles**, meetings attached to no circle are counted too. A meeting is tactical or governance by its meeting type, which it takes from its template.

### Export the Holacracy statistics

Select **Export** under **Export the Holacracy statistics**, then **Download the .xlsx**. The workbook has one sheet, **Holacracy**, with one row per live circle over the last 30 days: the number of changes adopted, how many of them outside a meeting and in a meeting, and the number of tactical and governance meetings closed.

> **Note:** For history imported from Holaspirit, every change counts as adopted outside a meeting, and a meeting is dated by its scheduled start rather than the moment it was opened.
