# Dynamic groups and people sets

## Dynamic groups and people sets

A dynamic group is a group linked to a people set, a saved member search. Every member matching the search is added to the group automatically: when a new member joins the organisation, or an existing member's profile changes to match the criteria, that member is added immediately. Members who stop matching the search are not removed automatically, and members added by a people set are free to leave the group at any time.

> **In summary:** Create a people set (a saved member search) under **Administration → Manage users → People sets**, then link a group to it. All matching members join the group automatically; nobody is ever removed automatically.

> **Role prerequisite:** Managing people sets requires administrator or [user administrator](/en/administration-security/the-user-administrator) rights. People sets are included in certain subscription plans; if your plan does not include them, the screens below show an upgrade notice instead.

## What is a people set?

A people set is a saved member search with a name. The criteria come from member profiles: skill, location, position, company, manager, and any custom profile fields your organisation has defined. Only members can belong to a people set; guests are never included. A people set without any criteria brings together every member of the organisation.

People sets are managed in the classic Talkspirit interface. In the new interface, the **People sets** tab of the Administration Users screen is not yet functional, so use the classic screen described below; it will change when this area is updated.

## Create a people set

1. Go to **Administration → Manage users** and open the **People sets** tab.
2. Click **New People set**.
3. Select your search criteria. The list underneath shows the members currently matching them.
4. Type a name in the **People set name** field and click **Create**.

It is headed "Select search criteria" with "15 selected members" on the right, and a search field whose suggestions list the available criteria: skill, location, position, company and manager. Underneath, every matching member is listed with their email address. At the bottom, a "People set name" field has been filled in with "All members", next to Cancel and Create buttons.](/images/communication/dynamic-groups-and-people-sets/01-create-people-set.png)

Each people set appears as a card showing its criteria, its member count and the groups it is linked with. From the card's action menu you can **Rename**, **Edit** or **Delete** it. As soon as the people set is linked to a group, the **Edit** option is no longer offered; renaming and deleting remain possible.

## Link a group to a people set

A group manager links their group from the group itself:

1. Open the group and click the **Invite** button in the group's side panel.
2. Choose **Link this group with a people set**.
3. Select the people set and click **Confirm**.

All members of the people set are added to the group straight away. Members who already belonged to the group stay in it even if they are not part of the people set, and group managers can still add members manually. A group can be linked to one people set only.

Administrators and groups administrators can also link any group from **Administration → Manage groups**: open the group's action menu and choose **Link group with a people set**.

## Manage or remove the link

Once a group is linked, the same menu entries become **Manage people set link** (on the group) and **Manage people set** (in Manage groups). To remove the link, select **No people set** in the list and confirm. Removing the link does not remove any member from the group.

In the group's user list, the **Show users from the people set only** filter button displays only the members who belong to the people set.
