# View, customise and synchronise your calendar


Talkspirit's calendar lets you view other members' availability, add group calendars to your view, choose which agendas and colours are displayed, and synchronise your calendar with Google or Microsoft Outlook in both directions. You reach it from the **Calendar** entry in the left sidebar. Viewing and syncing your own calendar are member actions; only the organisation-wide synchronisation setting is reserved for administrators.

## Prerequisites

Synchronising with an external calendar requires an administrator to have allowed calendar synchronisation for your organisation. When it is not allowed, the **Synchronize calendar** option does not appear.

## How do I view another member's calendar?

Add any member's calendar to your own view to see when they are available.

1. Open the **Calendar** entry in the left sidebar.
2. In the **Select a calendar** field, choose the member whose availability you want to see.
3. Click **Add**.

Their events appear in your calendar according to how each event is shared: events on a calendar shared as **Public** are visible to you, while events kept **Private** are not.

## How do I add a group calendar to my view?

Add the calendar of any group you belong to so its events appear alongside your own.

1. Open the **Calendar** entry in the left sidebar.
2. In the **Select a calendar** field, choose the group whose events you want to display.
3. Click **Add**.

All events from the selected group then appear in your calendar. To focus on a single calendar when several are shown, open its actions menu and select **Show only this agenda**: every other calendar is unchecked. Re-check a calendar's box to display it again.

> **Tip:** Build a room-reservation system with a group calendar. Create a group dedicated to a specific room, then add the room as a guest on an event to reserve it, plus a second event for the meeting participants.

## How do I customise my calendar view?

### How do I choose which groups to display?

1. Open the actions menu next to your own calendar under **My calendars**.
2. Select **Select displayed groups**.
3. Check the groups you want to display. Use **Check all** or **Uncheck all** to select quickly; your favourite groups are listed first.
4. Click **Save**.

### How do I change an agenda's colour?

1. Open the actions menu next to an agenda.
2. Under **Colors**, pick a colour from the palette, or open **Custom color** to enter your own.

All events on that agenda then display in the chosen colour.

## How do I synchronise my calendar with Google or Outlook?

Connect Google or Microsoft Outlook so events flow between Talkspirit and your external calendar in both directions.

1. Open the actions menu next to your own calendar and select **Synchronize calendar**.
2. Under **Synchronize your agenda with:**, click **Google** or **Microsoft Outlook**.
3. Grant Talkspirit access to your calendar in the provider's window.
4. Set the synced calendar's visibility to **Public**, so other members see its events, or **Private**, so they stay hidden from others.

Once connected, your external events appear in Talkspirit and your Talkspirit events appear in your external calendar. You can connect only one external calendar at a time: once a calendar is synchronised, the provider buttons are disabled until you remove it.
