# Adding or removing licences from my subscription


Administrators add licences to a Talkspirit subscription at any time and reduce them at the next renewal, from the billing portal opened through **Administration → Billing**. Adding licences takes effect immediately and is charged pro rata to the end of the current term. Reducing licences takes effect only at renewal, and never below the number of licences currently in use.

## Prerequisites

- You are an administrator. Only administrators can open **Billing** and change the number of licences.

## What counts as a paying licence?

A paying licence covers a member or a multi-group guest, meaning a guest who belongs to more than one group. Both cost the same, and you assign the account type when you invite the person, not when you buy the licence.

By default, single-group guests do not consume a paying licence. Some organisations are configured to bill single-group guests instead: if your usage count includes them, this setting is turned on for your organisation.

## Add licences

1. Open **Administration → Billing** to reach the subscription portal.
2. On **Your current subscription**, select **Add licences**.
3. Set the new total in **Add more paying licences**. The figure includes all your current licences.
4. Review the order summary, then select **Confirm** and **Pay**.

The change applies immediately. You are charged pro rata for the remaining days of the current billing period, on both monthly and annual plans.

To apply the increase at renewal instead, select **Manage plan** and turn on **Change subscription on next renewal** before you confirm.

## Reduce licences

You reduce licences only at renewal, and only down to the number of licences currently in use. Suspend or remove members first if you need to go lower.

1. Open **Administration → Billing**, then select **Manage plan**.
2. Turn on **Change subscription on next renewal**.
3. Lower the licence count, then confirm the change.

> **Note:** The reduction is scheduled, not applied straight away. It appears as the modifications planned for your renewal date, and you can cancel a scheduled change at any time before renewal.
